Known visitors - With pre-registration
People who have already visited at least once or are pre-registered can find themselves in the data files.
Advantage for visitors: For visitors, this saves time when registering themselves.
Advantage for your company: Duplicate entries of visitor data and typing errors on the device are avoided.
The language selection is the first step that your visit will see and in which the visit's upcoming registration will be carried out.
Depending on their pre-registration process and the equipment used at your reception, your visitors can usually register through the pre-registration either by barcode or PIN, in which case their visit will be forwarded directly to the visitor registration screens.
If your visitor does not have the PIN or barcode at hand, the visitor can select pre-registration himself. To do this, the visitor must select the New Visit button.
The following procedure, up to visitor registration, is explained here via the "New visitor" path.
For pre-registered visitors, I was already registered must be selected here.
Your visitor can now find his or her data by name. If there is a pre-registration, the button Existing Previsit is displayed here for selection.
The search can be configured by you, e.g. that the visitor has to enter his name exactly in order to find himself. This can be used, for example, to prevent people from simply browsing through records and visitors by searching for "A". For more information on configuring the search, please see the page Other settings - Licence
Your visitors can now select the desired date from a list.
If you are using the Visitor Portal add-on module, this screen also checks whether all the necessary forms from the Visitor Portal have been completed.
Visits for which the data from the Visitor Portal have not yet been signed are clearly highlighted here with the additional text "Your haven't filled in forms that were sent to your e-mail".
Accordingly, this visit cannot be selected by the visitor until the necessary documents have been signed.
Basic information
This screen is also the entry point when your visit starts registration via PIN / barcode scan.
The basic data are already pre-filled here.
The fields marked with an star * are mandatory fields. Non-filled mandatory fields are highlighted in red after a check.
The input fields "Company" and "Employee" automatically display a selection after the first three letters have been entered.
When the visitor has entered all the required information, he or she can click on "Continue" at the bottom right.
COVID forms
If you have activated the COVID-19 forms in your kiosk, additional contact details will now be requested.
Separate questions must also be answered for the COVID-19 forms. Here you can deposit up to 6 questions (which can be answered with yes/no) to your visitors.
The COVID-19 forms are signed separately with a signature for this purpose.
Safety Instruction & Briefings
Finally, the individual instruction texts and safety instructions are displayed. The examples shown here are already included templates that you can adapt and use as you wish and in different languages.
Completion of registration
Your visitors have to sign the whole process with a signature, for example, so that the information shown before has been read and understood.
Done
If your kiosk is configured to print a badge after a successful login, this will now be done.
The registration process is finished and the screen changes back to the language selection, ready for the next visitor.
