Additional module - Office

The Office add-on module extends the reception, the intranet and also the kiosk by the possibility of sending e-mails with necessary information at the end of a process.

You can send up to 3 e-mails per process.
It is possible to activate an additional checkbox in the registration & pre-registration masks of the reception and intranet, which allows you to send additional e-mails on top of those sent automatically.

Example: Your visitor is at the reception and is registered by the staff. With the completion of the registration, you can now send e-mails, depending on the configuration.

For example, automatically send an email to the relevant staff member so that they know their visit has been registered at the reception desk.
Also send an email to the visitor with necessary information such as the Wi-Fi password in your company.
Furthermore, send an e-mail to the canteen so that the staff in the canteen know that a visitor will be coming to eat.

Documents can be attached to email templates, such as directions and safety instructions.

In the administration, e-mail templates can be created, edited and deleted.
In addition, you can configure the gateways in the administration, for which gateway the e-mail dispatch should apply and for which process.

For the first time, a visitor or permanent visitor must be registered or pre-registered. Likewise, registration can take place at the kiosk by the visitor himself.

In the following example, we have pre-registered a visitor in the Intranet module and sent an e-mail to the visitor + CSI calendar file.

If the visitor now clicks on the file, he will be asked whether he would like to add this calendar entry to his calendar.

In our example, this is the Outlook calendar.
The visitor can now insert the appointment into their Outlook calendar with "Save & Close".

If your visitor also receives the emails on their smartphone, the route can be planned directly to the appointment.
